How to turn meeting notes into CRM updates automatically

Record your calls with a meeting notes tool, have AI turn each transcript into a summary and next steps, then write them into the matching contact or deal in your CRM along with a drafted follow-up email.

Everyone agrees the CRM should be up to date. Almost nobody updates it after every call. The fix is to stop asking people to type.

What you need

  • A meeting recorder, like Granola, Fireflies, Otter or your video tool's built-in notes.
  • A CRM, like HubSpot, or even a well-organized Google Sheet.
  • An AI assistant that can read the transcript and write to the CRM.

Set it up

  1. Record every external call. Turn the recorder on by default for client and sales calls, and tell people you're taking notes.
  2. Define what to pull out. For example: summary, decisions, next steps with owners and dates, budget, timing, objections.
  3. Match the call to a record. Use the attendee's email to find the right contact and deal. If none exists, create one.
  4. Write it in. Add the summary as a note, update the deal stage if it changed, and create tasks for next steps.
  5. Draft the follow-up. Use the same notes to draft a recap email, ready to review and send.

Check the first twenty calls by hand. You'll quickly see what the notes miss and can adjust the instructions.
