How to automate follow-up emails with AI
Connect AI to your inbox or CRM, have it flag any thread where someone hasn't replied after a set number of days, and draft a short follow-up in your voice for you to approve and send.
Most lost deals aren't lost. They're forgotten. Someone asked for a quote, you sent it, they got busy, and nobody followed up. A simple follow-up system fixes more revenue problems than any marketing campaign.
Decide what counts as waiting
Before any AI gets involved, write your rules. For example: a quote with no reply after three days gets a nudge. After seven days, a second nudge. After fourteen, a final note that leaves the door open.
Set it up
- Pick where the threads live. Usually Gmail or Outlook. If you use a CRM like HubSpot, use that, since it already knows who's a lead.
- Label what needs follow-up. Mark sent quotes and proposals with a label or a deal stage, so the system knows what to watch.
- Give the AI examples of your voice. Paste five follow-ups you've actually sent. Tell it what to avoid, like 'just checking in' or fake urgency.
- Run a daily check. Once a day, the AI looks for labeled threads past your waiting rules and drafts a reply in each one.
- Approve and send. You get a list of drafts each morning. Edit, send, or skip. This takes a few minutes.
What a good follow-up looks like
- Short. Two or three sentences.
- Specific. It mentions the actual job, date or number.
- Useful. It answers a likely question or makes deciding easier.
- Easy to answer. One clear question at the end.
Keep a person approving follow-ups at first. Once you trust the drafts, you can let the first nudge send on its own and keep approving the rest.
