How to set up Claude for your team
Start with a few clear use cases, create a project for each area of work with written instructions and reference documents, connect the tools people use every day, and train the team with real examples before rolling it out to everyone.
Buying seats is the easy part. The hard part is getting a team to use AI in their real work every day, instead of trying it once and going back to old habits.
Before you start
Pick three jobs that repeat across the team and cost real time, like writing proposals, prepping for calls or answering internal questions. Your rollout should make those three things noticeably faster.
The rollout
- Set up the workspace. Choose the plan that fits your team size, invite people with company accounts and decide who manages settings.
- Create projects by area of work. For example: sales, operations, product. Each project holds the instructions and documents for that kind of work.
- Write project instructions. Who you are, who you serve, how you write, what to never do. This is what makes answers sound like your company.
- Add reference documents. Pricing, service descriptions, SOPs, brand and voice guides. Keep them current.
- Connect everyday tools. Email, calendar, drive and chat are usually first. Only connect what a workflow needs.
- Build the first three workflows. Turn your three chosen jobs into repeatable workflows people can run on day one.
- Train with real work. Short sessions using the team's own tasks, plus written guides and walkthrough videos to refer back to.
Keep it going
- Review monthly: what's used, what isn't, what to add.
- Collect the best prompts and turn them into shared instructions or skills.
- Keep a person approving anything that goes to customers.
