How to write SOPs with AI from a screen recording or voice note
Record yourself doing the task while explaining it out loud, give the recording or transcript to AI with an SOP template, then have the person who does the job check the draft before it's shared.
Most businesses know they should write things down. Nobody has time to sit and write a manual. But almost anyone can talk through what they do while they do it.
- Record the task once. Use a screen recorder or your phone. Talk through each step and why you do it that way.
- Use a simple template. Purpose, when to do it, what you need, steps, common mistakes, who to ask.
- Have AI draft the SOP. Give it the transcript and the template. Ask for short numbered steps in plain language.
- Check it with the doer. The person who does the job reads it and fixes anything wrong. This step matters most.
- Store it where people look. A shared drive or wiki, and connected to your AI assistant so teammates can ask questions about it.
Start with the tasks that cause the most questions or mistakes. Ten good SOPs beat a hundred nobody reads.
